We understand that some of our orders are urgent, and there might not be sufficient time to remove sales tax from your order immediately. Rest assured, if your organization is tax-exempt, you can confidently place your order knowing that any tax applied will be promptly refunded.
Order Process for Tax-Exempt Organizations
- Initial Authorization: We authorize the provided payment card upon placing an order. This will appear as "Pending" in your account portal.
- Tax Exemption Verification: We require at least 24 hours after authorization to verify your tax exemption documentation. If the documentation is received and validates your exemption in the "Ship to the State" for your order, we will process the order minus the tax amount.
- Extended Documentation Submission: If you need more time to provide your exemption documentation, we offer a grace period of up to 20 days from the order date to refund the tax amount.
Tax-Exempt Box Options
When you select the Tax Exempt box during checkout, you will be prompted to choose one of the following options, which you can mention in the comment/note box of the checkout page:
- Please Process: We will process your order, and you will send your exemption documentation afterward.
- Do Not Process Until Tax Has Been Removed: Your order will be on hold until the tax exemption has been applied and the sales tax removed.
For New Customers
- Account Registration: Please create an account on our website.
- Submission of Exemption Documentation: Email your tax exemption documentation (preferably in PDF format) to the state to which you intend to ship the order to [email protected]. Include the email associated with your registered account or the order number.
- Account Exemption Status: We aim to set your account to "Exempt" status within 30 to 45 minutes during normal business hours. Any charged tax will be refunded.
- Refund Requests: You have 30 days from the date of purchase to request a tax refund by emailing [email protected]. Please note that refund requests for previous orders must be made directly to your respective state department.
For Returning Customers
- Submission of Exemption Documentation: If your account was previously exempt, email your updated tax exemption documentation (preferably in PDF format) for the state to which you intend to ship the order to [email protected]. Include the email associated with your registered account or a previous order number.
- Account Exemption Status: We will promptly set your account to "Exempt" status, usually within 30 to 45 minutes during normal business hours. Any charged tax will be refunded.
If your organization is exempt in multiple states, please send the multi-state exemption documentation. Indicate the state for your next upcoming order, and we will prioritize setting that state to exempt. We will then apply the document to your account and process exemptions for new states as orders come in.
